Noetra Inc. ("Noetra," "we," "us") operates the Noetra sales coaching platform. This Privacy Policy explains how we collect, use, store, and protect your information when you use our Service. We are committed to protecting the privacy and security of your data.

2. Information We Collect

Account Information

Name, email address, and organization name
Login credentials (passwords are hashed and never stored in plaintext)
Role and team assignments within your organization

Audio Recordings and Transcripts

Audio recordings of sales conversations uploaded through the Service
Transcripts generated from audio recordings via third-party transcription services
AI-generated coaching feedback and scores derived from transcripts

Usage Data

Recording frequency, duration, and timestamps
Feature usage patterns and page views
Device type and browser information

Billing Information

Billing contact details and subscription plan
Payment card information is processed directly by Stripe and is never stored on our servers

3. How We Use Your Information

Provide the Service: Process audio recordings, generate transcriptions, deliver AI coaching feedback and analytics
Improve the Service: Analyze aggregate usage patterns to improve features and performance
Communicate: Send account notifications, billing confirmations, and service updates
Support: Respond to support requests and troubleshoot issues
Security: Detect and prevent fraud, abuse, and security threats

We do NOT:

Sell your personal information or audio data to third parties
Use your audio recordings or transcripts to train third-party AI models
Share your data with advertisers

4. Third-Party Services

We use the following third-party services to operate the platform:

Speech-to-Text Processing — Audio recordings are transmitted over an encrypted connection to a third-party speech-to-text service for transcription and speaker diarization. Audio is not retained by our transcription provider after processing is complete.

Stripe — Payment processing and subscription management. Payment card data is handled entirely by Stripe and never touches our servers. Privacy Policy

DigitalOcean — Cloud hosting and object storage for application infrastructure and audio file storage. Privacy Policy

AI Coaching Analysis — Transcripts are processed through a third-party large language model provider to generate coaching feedback and scores. Our agreements with these providers prohibit the use of your transcripts for training their models.

5. Data Storage and Security

We implement industry-standard security measures to protect your data:

Audio files are stored in encrypted cloud storage (DigitalOcean Spaces)
All data is transmitted over TLS/HTTPS encrypted connections
Access to production systems is restricted and logged
Passwords are hashed using secure one-way algorithms
Organization data is isolated — each organization can only access their own data

6. Data Retention

Active accounts: Data is retained for the duration of your subscription
After cancellation: Data is retained for 30 days to allow for reactivation or export, then permanently deleted
Billing records: Retained for 7 years as required for tax and accounting compliance
You may request early deletion at any time by contacting us

7. Your Rights

You have the right to:

Access: Request a copy of the personal data we hold about you
Correction: Request correction of inaccurate personal data
Deletion: Request deletion of your personal data (subject to legal retention requirements)
Export: Request an export of your data in a portable format
Opt-out: Opt out of non-essential communications at any time

The Service is designed for business use and is not intended for individuals under 18 years of age. We do not knowingly collect personal information from children.
